How to integrate Xero with HubSpot
Introduction
In today's dynamic business environment, efficiency and accuracy are paramount. For organizations leveraging HubSpot as their CRM, integrating it seamlessly with accounting platforms can pose challenges. Enter Falcos, a middleware solution designed to bridge this gap, enabling effortless synchronisation between HubSpot Deals and accounting systems such as Xero, FreshBooks, and QuickBooks. By automating data transfer, Falcos reduces manual entry, minimises errors, and allows businesses to focus on strategic growth.
The Challenge of Manual Data Entry
Maintaining accurate financial records is essential for any business. However, HubSpot's native functionality doesn't provide automatic integration with many accounting platforms, leading to manual data entry—a process susceptible to errors and inefficiencies. This manual approach can result in misalignment between sales and finance teams, hindering overall productivity.
Falcos: The Integration Solution
Falcos addresses this challenge by serving as a conduit between HubSpot and your chosen accounting software. It ensures that data flows seamlessly, eliminating the need for manual intervention. You can read more on the HubSpot integration here.

Configuring HubSpot Sync
Now that the HubSpot integration is enabled. You will find a new option allowing you to configure the integration. This is where you have the ability to make your HubSpot sales pipeline to statuses within Falcos that dictates the trigger of invoice generation.
Configuring HubSpot Statuses Sync
Within the model popup, you can select your HubSpot sales pipeline stages and make them to statuses within Falcos.
Status - Open
This is the stage where Falcos will sync the HubSpot deal and generate an open invoice. Make sure to use a status that indicates its not ready for invoicing.
Status - Void
This is the status you want to use in the instance that the HubSpot deal is now lost, typically you would map “Closed Lost” to the void status.
Status - paid
This is the status you want to be updated to when a Invoice linked to a HubSpot deal has been paid.
Top Tip - We recommend clients adding a new HubSpot pipeline deal stage called “Ready for invoicing”. You can still give this the same weight as Closed Won.
